Pine Brook Manor “We Need More Love” Initiative

The Pine Brook Manor “We Need More Love” initiative, the “Promotion,” is sponsored by Pine Brook Manor, 1200 NY-42, Sparrow Bush, NY 12780, “Sponsor.”

This Promotion is a skill-based, merit-based application and selection process. It is not a sweepstakes, raffle, lottery, random drawing, game of chance, chance-based giveaway, or contest determined by chance. Chance will play no role in the selection process. No purchase, payment, booking, tour, contract, donation, or other transaction is required to apply or be selected. A purchase, payment, booking, tour, contract, donation, or other transaction will not improve an applicant’s likelihood of selection.

There is no fee to apply. Applicants are not required to purchase, book, tour, follow, share, post, tag, subscribe, make a payment, sign a contract, or provide anything of monetary value to apply or be selected. Social media engagement, including following, liking, commenting, tagging, sharing, or posting about Pine Brook Manor or the Promotion, is not required and will not improve an applicant’s likelihood of selection.

This Promotion is intended to be a merit-based selection process and not a chance-based promotion subject to registration or bonding requirements for games of chance. New York’s bonding requirement applies to certain promotions where prizes are awarded “as determined by chance” and the prize value exceeds the statutory threshold. This Promotion is not determined by chance.

Eligibility

The Promotion is open to legal residents of the United States who are eighteen (18) years of age or older and are engaged or actively planning a wedding. Both members of the couple must be legally able to enter into contracts and must be legally able to marry under applicable law.

Employees, owners, officers, contractors, representatives, agents, and vendors of Sponsor, as well as their immediate family members and household members, are not eligible to apply or be selected. Sponsor reserves the right to determine eligibility in its sole discretion.

Void where prohibited or restricted by law.

Entry Period

The entry period begins on May 14, 2026 and ends on June 1, 2026 at 11:59 PM Eastern Time, the “Entry Period.” Applications submitted before or after the Entry Period may not be considered.

How to Apply

To participate, couples must submit one (1) application per couple through the designated application form during the Entry Period. The application may require written responses, contact information, wedding planning details, and a video submission.

Only one (1) application may be submitted per couple. Duplicate, incomplete, late, automated, fraudulent, misleading, or otherwise non-compliant submissions may be disqualified at Sponsor’s sole discretion.

Sponsor is not responsible for lost, delayed, misdirected, incomplete, corrupted, inaccessible, inaccessible due to technical issues, or undeliverable submissions, including submissions affected by internet failures, platform errors, application form errors, email delivery issues, file upload issues, video upload issues, or user error.

Selection Process

One (1) couple will be selected based solely on a qualitative, skill-based review of eligible submissions.

Submissions will be evaluated based on authenticity and clarity of the couple’s story, thoughtfulness and completeness of the application, alignment with the spirit of the “We Need More Love” initiative, emotional impact, and overall strength of the submission.

Selection is qualitative and based on Sponsor’s good-faith assessment of the stated criteria. Sponsor’s decisions are final and binding, but chance, random selection, public voting, social media engagement, and purchase activity will not be used to determine the selected couple.

Selection will be made by Sponsor or Sponsor’s designated review team based on the criteria above. Selection is subjective, qualitative, and based on Sponsor’s assessment of the submitted materials. Chance will play no role in the selection process.

Sponsor’s decisions are final and binding in all matters relating to the Promotion, including eligibility, application review, selection, disqualification, prize fulfillment, scheduling, and interpretation of these Official Terms.

Selected Couple Notification

The selected couple will be notified using the contact information provided in the application.

A couple is not confirmed as the selected couple unless and until Sponsor verifies eligibility, receives all required documentation, and confirms acceptance in writing.

The selected couple may be required to respond within a stated time period, complete additional documentation, provide identification, complete tax documentation, sign Sponsor’s event agreement, sign liability and publicity releases, and confirm their ability to comply with these Official Terms.

If the selected couple does not respond within the required time, is found to be ineligible, provides false or incomplete information, fails to complete required documentation, declines the prize, or cannot accept the prize for any reason, Sponsor may disqualify that couple and select an alternate couple using the same judging criteria.

Prize Description

The selected couple will receive use of Pine Brook Manor for a wedding venue package valued at up to $10,000.

The package may include use of designated ceremony space, use of designated reception space, use of tables and chairs owned by Sponsor subject to availability and venue inventory, use of designated getting ready spaces, and on-site venue coordination.

The exact spaces, timing, access, layout, inventory, and services included will be determined by Sponsor and confirmed in writing before the event.

What Is Not Included

Unless expressly stated in writing by Sponsor, the prize does not include catering, alcohol, bar service, florals, décor, photography, videography, entertainment, music or DJ services, officiant services, wedding planning services, lodging, transportation, hair or makeup, attire, marriage license fees, security, valet or parking attendants, restroom trailers, tenting, lighting, heating or cooling equipment, generators, additional rentals, vendor fees, staffing beyond what Sponsor expressly includes, cleaning fees beyond ordinary venue use, damage fees, insurance, permits, taxes, gratuities, or any other costs not expressly stated as included.

The selected couple is solely responsible for all costs and expenses not expressly included in the prize.

Approximate Retail Value

The approximate retail value, “ARV,” of the prize is up to $10,000, based on the venue services provided. Actual value may vary depending on the selected date, event structure, guest count, services used, and availability.

Any difference between the stated ARV and actual value will not be awarded. The prize has no cash value and may not be transferred, exchanged, sold, assigned, substituted, or redeemed for cash.

Taxes

The selected couple is solely responsible for all federal, state, and local taxes, fees, and reporting obligations associated with acceptance and use of the prize. The value of the prize may be taxable income to the selected couple.

Sponsor may require the selected couple to complete and return a Form W-9 before the prize is confirmed. Sponsor may issue a Form 1099-MISC or other applicable tax form to the selected couple and the IRS for the fair market value of the prize, as required by law. The IRS currently states that taxable prizes reported on Form 1099-MISC are generally reported in Box 3 as other income when applicable.

Failure to complete required tax documentation may result in disqualification and selection of an alternate recipient. The selected couple should consult their own tax advisor regarding the tax consequences of accepting the prize.

Wedding Date and Availability

The wedding date is subject to Sponsor’s availability and approval. Blackout dates apply and may include peak Fridays, Saturdays, holiday weekends, major holidays, previously booked dates, operationally restricted dates, and any other dates determined unavailable by Sponsor.

The event must take place within twelve (12) months of selection unless Sponsor approves an extension in writing.

Sponsor does not guarantee availability of any specific date, season, space, layout, or event format.

Sponsor is not responsible for weather conditions or other circumstances outside Sponsor’s reasonable control that may affect the event. Sponsor may require changes to timing, layout, location, access, vendor setup, or event scope due to weather, safety, operational, legal, permitting, or property-related concerns.

Event Requirements

The selected couple must comply with all Pine Brook Manor venue rules, policies, agreements, timelines, insurance requirements, vendor requirements, noise restrictions, parking rules, alcohol rules, safety rules, and applicable laws.

The selected couple may be required to sign Sponsor’s standard event agreement. The event agreement may include additional venue rules, safety requirements, payment obligations for non-included services, insurance requirements, damage responsibility, cancellation terms, vendor requirements, alcohol requirements, and event logistics. If the selected couple does not sign the required event agreement, Sponsor may disqualify the selected couple and select an alternate recipient.

Sponsor reserves the right to require event insurance, vendor insurance, licensed and insured vendors, security, transportation plans, parking plans, tenting plans, restroom facilities, permits, or other measures Sponsor determines necessary for safety, compliance, or operations. Unless expressly included in writing, these costs are the selected couple’s responsibility.

Vendors

All vendors are subject to Sponsor’s approval. Sponsor may require vendors to provide proof of insurance, licenses, certificates, permits, and any other documentation reasonably required by Sponsor.

Sponsor reserves the right to reject or remove any vendor that does not meet Sponsor’s requirements, creates safety concerns, violates venue policies, or acts in a manner inconsistent with the property’s standards.

The selected couple is solely responsible for all vendor contracts, vendor payments, vendor gratuities, vendor meals, vendor conduct, and vendor-related damages unless otherwise agreed in writing by Sponsor.

Alcohol

Alcohol is not included in the prize.

Any alcohol service must comply with all applicable laws, venue policies, insurance requirements, and licensing requirements. Sponsor may require alcohol to be served only by approved, licensed, and insured providers.

Sponsor reserves the right to restrict or prohibit alcohol service if necessary for legal, safety, operational, or insurance reasons.

Guest Count and Event Scope

The selected couple must provide an estimated guest count and event scope for Sponsor’s approval. Final guest count, layout, timing, and event logistics are subject to Sponsor’s approval.

Sponsor may impose capacity limits, parking limits, space restrictions, noise restrictions, curfew requirements, access restrictions, or other operational limits.

Any event elements beyond the included venue package are the selected couple’s responsibility and must be approved by Sponsor in writing.

Conduct and Property Damage

The selected couple is responsible for the conduct of their guests, vendors, invitees, and representatives.

Sponsor reserves the right to stop, restrict, or modify the event if Sponsor determines that conduct, weather, alcohol use, vendor activity, guest behavior, safety concerns, property damage, or other circumstances create a risk to people, property, operations, or compliance.

The selected couple may be responsible for any damage to Pine Brook Manor property caused by the couple, guests, vendors, invitees, or representatives.

Publicity and Content Rights

By applying, participants represent that all submitted materials are original, accurate, and do not violate the rights of any third party.

Participants grant Sponsor the right to use submitted content, names, likenesses, images, voices, stories, photos, videos, application materials, social media handles, and related materials for promotional, advertising, social media, website, public relations, marketing, and press purposes without additional compensation, unless prohibited by law.

The selected couple may be required to participate in reasonable promotional activities related to the initiative, including photos, video, interviews, social media content, press outreach, or post-event storytelling. Sponsor will make reasonable efforts to coordinate such activities respectfully and in good faith.

Sponsor is not required to use any submitted materials or promotional content.

Representations by Applicants

By applying, each participant represents and warrants that the information submitted is true, accurate, and complete; that the submitted materials are original or the participant has the right to submit them; that the submission does not infringe any third-party rights; that the submission does not contain unlawful, defamatory, obscene, hateful, threatening, discriminatory, harassing, or otherwise inappropriate content; that the couple is genuinely engaged or actively planning a wedding; that the couple is able to accept and use the prize if selected; and that the couple agrees to comply with these Official Terms.

Disqualification

Sponsor reserves the right to disqualify any applicant or selected couple who violates these Official Terms; submits false, misleading, incomplete, or fraudulent information; attempts to manipulate or interfere with the application or selection process; acts in a manner that is abusive, threatening, harassing, unsafe, discriminatory, or inconsistent with the spirit of the Promotion; fails to respond or provide required documentation; cannot comply with venue policies or event requirements; cannot accept the prize as offered; or creates legal, safety, reputational, operational, or financial concerns for Sponsor.

Modification, Suspension, or Cancellation

Sponsor reserves the right to modify, suspend, extend, or cancel the Promotion if fraud, technical issues, platform failures, legal requirements, operational constraints, weather events, acts of God, public health concerns, safety concerns, venue limitations, property damage, permitting issues, or other circumstances beyond Sponsor’s reasonable control affect the integrity, administration, safety, legality, feasibility, or intended purpose of the Promotion.

If the Promotion is modified, suspended, or canceled, Sponsor will have no obligation to award the prize except as required by law.

Release of Liability

By applying, participants agree to release and hold harmless Sponsor, its owners, employees, representatives, contractors, vendors, partners, affiliates, agents, successors, and assigns from any claims, damages, losses, liabilities, costs, or expenses arising out of or related to participation in the Promotion, submission of application materials, selection or non-selection, acceptance, use, or inability to use the prize, event planning or event execution, vendor conduct, guest conduct, property damage, personal injury, publicity or content use, tax consequences, or any other matter related to the Promotion.

Limitation of Liability

Sponsor is not responsible for any indirect, incidental, consequential, special, punitive, or exemplary damages arising from or related to the Promotion or prize.

Sponsor’s maximum liability, if any, shall not exceed the actual value of the venue services provided.

No Warranty

The prize is provided as-is and as available. Sponsor makes no warranties, representations, or guarantees, express or implied, regarding the prize, event outcome, wedding experience, vendor performance, weather, guest experience, or any other matter.

Governing Law

The Promotion and these Official Terms are governed by the laws of the State of New York, without regard to conflict of law principles.

Any disputes arising out of or relating to the Promotion shall be handled in the appropriate courts located in New York, unless otherwise required by law.

Privacy

Information submitted by applicants may be used to administer the Promotion, contact applicants, evaluate submissions, verify eligibility, conduct promotional activities, and communicate about Pine Brook Manor.

Sponsor will not be responsible for unauthorized access to or use of application materials caused by technical issues, third-party platforms, or circumstances outside Sponsor’s reasonable control.

General Conditions

Participation in the Promotion constitutes acceptance of these Official Terms.

If any provision of these Official Terms is found to be invalid or unenforceable, the remaining provisions will remain in effect.

Sponsor’s failure to enforce any provision of these Official Terms does not constitute a waiver of that provision.

All decisions of Sponsor are final and binding.
